The following are unedited answers provided by Alicea Garcia to questions posed by Andie Stafford. Both agencies have granted us permission to share this information in an effort to help other agencies in their search for the right management system for their needs.


Andie:

My agency is looking to right-size from AMS360™ to either HawkSoft or QQ Catalyst.
What features in HawkSoft have made the biggest difference for your agency?

Alicea:

The efficiency of HawkSoft’s Forms tools. The ability to do multiple ACORD applications in one file, the Certificates workflow, etc.

Andie:

How has HawkSoft impacted the time needed to produce quotes, certificates, etc?

Alicea:

I feel that we are extremely efficient now. Everything you enter carries over automatically to the forms, certs, etc. It is super easy to use and save the information. You are able to send the information by email directly from the same task and it automatically documents what you did. Such a better flow and peace of mind.

Andie:

Were your personnel able to quickly grasp how to use HawkSoft? Is it truly intuitive?

Alicea:

The learning curve with this system was quick. The best part about learning this system is the Training Guides, videos and customer service line. We personally started with the videos which got us moving in the system pretty quick, then we used the Training Guide Search feature for more detailed drill downs on how to complete tasks. I also have to say, I have never waited more than 5 minutes when calling customer service on an item I cannot figure out, even with the Guides. My phone calls are rarely over the 5 minute mark either. Their training materials are very efficient.

Andie:

What are your thoughts about HawkSoft’s reporting capabilities?

Alicea:

The reports through HawkSoft are, in my opinion, so much easier to use than with QQ. Even the accounting reports have several layers to give you either a big picture or drilled down to what you need to see.

Andie:

What are you thoughts about HawkSoft’s accounting capabilities?

Alicea:

We use the desktop version of QuickBooks and it seems to flow very well. HawkSoft gives you an accounting rep to train you and ours was AMAZING! Our prior agency did not use QQ for the accounting items so I have no reference on how it compares but this system is easy to use and it flows easily between the programs. It allows you to put in your retains commissions right into the invoice, you can split out fees, and it allows you to make courtesy invoices when the information doesn’t need to go to the accounting program. We like how it is able to “talk” back and forth between the programs and gives an additional layer of confirmation that the numbers are correct.

Andie:

What advantages do you see to HawkSoft versus QQ Catalyst?

Alicea:

The customer experience is #1 on my list. Also, this program does a great job of sharing file information across the different tasks you can do within the system. From a documentation stand point, this system is great because it prompts you to do it and helps those team members that tend to skip adding notes, etc. It is a truly efficient program and that is why we chose this system. I have been in the industry for over a decade and have used many systems and this is absolutely just as good, if not better, than Applied, but without the price tag. Our experience with QQ was also one of their system going down constantly which would stop business for sometimes hours at a time - and one time a full work day. I do not have time for that and neither do my client’s needs. In a 6-month time, QQ had gone down 5 times for hours at a time. We also experienced that the server with QQ did not always save the information you put in. That is scary since we use it to document items for E&O purposes, etc. So in a nutshell, QQ does not even compare to this system!

Andie:

Compare the ease of quoting personal lines via HawkSoft versus QQ Catalyst.

Alicea:

We are a commercial agency and I do not have a reference for this.

Andie:

Are you using a rater within the HawkSoft system?

Garcia:

We are not at this time as none of our commercial carriers offer this.

Andie:

What are your thoughts about the new HawkSoft Rater that is coming based on your experience with their tools thus far?

Alicea:

Since I do not have a rater experience to speak of, I will speak on my tools experience thus far. What I have learned from speaking with all the folks so far is that most of them have worked in an agency at some point and they truly understand what an agency does on a day-to-day basis. So far, all of my expectations have not just been met, but exceeded. Our agency is personally waiting for the Agency and Client App that is hopefully set to launch this year (2019), which allows your clients to have 24/7 access to completing their own certificates, printing their policy and id cards, etc.

Andie:

Have you found HawkSoft responsive to answering questions or resolving issues for an agency new to HawkSoft?

Alicea:

They are the best I have worked with so far!
